Booking Process

1. Inquiry & Consultation

Begin your journey by contacting us via our online form, WhatsApp, phone, or email. Our experienced team will offer personalized guidance based on your goals, schedule, and adventure preferences.

2. Tailored Trip Proposal

Receive a custom itinerary complete with detailed information on inclusions, exclusions, pricing, and preparation—whether you’re planning a trek, technical climb, or a high-altitude expedition.

3. Trip Confirmation

Once you’re ready, we’ll secure your spot and send you a comprehensive booking confirmation with everything you need to know before departure.

Note: If the number of participants (pax) decreases after confirmation, the per-person cost may increase, or the trip may be subject to cancellation depending on logistics and minimum group requirements.


Payment Information

Payment Schedule

• Booking Deposit

A non-refundable deposit of 30% is required to confirm your reservation.

• Advance Payment

An additional 30% is due at least one month prior to your arrival, unless otherwise agreed.

• Final Payment

The remaining balance is payable upon arrival in Nepal.

• Credit Card Charges

All card transactions are subject to bank-imposed service charges, which must be covered by the client. Please confirm your card allows international transactions and has sufficient limit for large payments.

Top Himalaya Guides is not liable for any transactions made to incorrect or unauthorized accounts.

• Bank Charges

All bank fees or transfer costs are the responsibility of the client.

• No Additional Incoming Charges

We do not impose extra charges for incoming funds, but your bank might.

Receipts & Documentation

Official receipts and relevant travel documents will be issued after payment is received.


Cancellation Policy

Client-Initiated Cancellations

Written notice is required for all cancellations. The following charges apply:

• More than 45 days before departure:

Deposit retained

• 30–45 days before departure:

50% of the total trip cost

• Less than 30 days before departure:

100% of the total trip cost (non-refundable)

Note: Refunds will be processed after deducting any non-recoverable costs already incurred.

Company-Initiated Cancellations

If Top Himalaya Guides cancels a trip due to weather, safety concerns, political unrest, or unforeseen events, clients may choose between the following options:

• A full refund

• Rescheduling or transferring to a different date or trip

Note: While we are not responsible for delays or disruptions caused by third-party services (e.g., airlines, hotels, transport companies), we will do our best to coordinate alternate arrangements.


Trip Changes & Delays

The Himalayas are inherently unpredictable. Natural disasters, weather conditions, or political events may result in itinerary changes. Your safety remains our top priority, and our experienced guides will always offer the best possible alternatives.
